Background
In 2020, a beauty brand from the United Arab Emirates approached Hinsourcing for help finding a reliable hair color product manufacturer in China.
The client wanted to develop a private-label hair color cream under its own brand. The selected supplier needed to offer OEM/ODM services and support the brand in turning its product concept into a commercially manufacturable product.
This required more than purchasing an existing hair dye product and adding a logo. The manufacturer needed to demonstrate relevant product experience, customization capabilities, suitable production facilities and the ability to coordinate product development, packaging and manufacturing requirements.
However, the brand’s founder faced two significant barriers.
First, the founder did not speak Chinese, making it difficult to communicate directly with local manufacturers, understand technical information or evaluate whether suppliers were responding clearly and accurately.
Second, the founder was unfamiliar with the Chinese supplier market. The client did not know where to find qualified hair color manufacturers or how to distinguish a genuine manufacturer from a trading company or intermediary.
Online supplier profiles, product catalogs and sales presentations could provide an initial introduction, but they could not independently confirm a supplier’s actual production environment, equipment, quality-control practices or OEM/ODM capabilities.
Because the client was based in the UAE and could not easily inspect multiple factories in person, the brand needed a local sourcing partner capable of managing the project on the ground.
The client therefore asked Hinsourcing to provide a one-stop sourcing service covering supplier identification, preliminary screening, local communication, factory assessment, video walkthroughs and manufacturer selection.
Our Approach
Hinsourcing began by reviewing the client’s product concept and translating it into a sourcing brief that Chinese manufacturers could understand.
For an OEM/ODM hair color project, supplier evaluation needed to consider several areas beyond the quoted unit price. These included:
Experience manufacturing hair color creams or related professional hair products;
Availability of OEM, ODM and private-label services;
Product and formulation development capabilities;
Ability to prepare samples for client evaluation;
Available shades and customization options;
Raw-material storage and batch traceability;
Production environment and manufacturing equipment;
Filling, sealing, coding and packaging capabilities;
In-house quality-control procedures;
Minimum order quantities and production capacity;
Packaging and private-label coordination;
Communication quality and responsiveness;
Experience handling export orders.
This structured approach allowed Hinsourcing to compare suppliers according to the same core requirements instead of relying on unrelated quotations or general marketing claims.
Supplier Search in Baiyun and Huadu
Based on the client’s requirements, Hinsourcing conducted a supplier search in Baiyun and Huadu, two areas of Guangzhou with established beauty and personal-care manufacturing supply chains.
The search focused on manufacturers that could support customized hair color products rather than suppliers that only distributed standard products from other factories.
Hinsourcing identified and screened eight potential manufacturers.
During the initial screening stage, we reviewed each supplier’s product focus, customization model, production capabilities, minimum order requirements and willingness to cooperate with further factory assessment.
The objective was not to collect as many quotations as possible. It was to create a manageable shortlist of manufacturers whose capabilities were reasonably aligned with the client’s product and business requirements.
Factory Assessment and Video Walkthroughs
Because the client could not visit China personally, providing direct visual access to the factories was an important part of the project.
Hinsourcing carried out local factory assessments and used video walkthroughs to help the client examine the manufacturers remotely.
Instead of depending only on catalog images or promotional videos selected by factory sales teams, the video assessments focused on the actual manufacturing environment and production equipment.
Depending on the layout and facilities available at each factory, the review covered areas such as:
General factory environment and workshop organization;
Manufacturing and processing equipment;
Product-development or sample-preparation areas;
Raw-material storage and identification;
Mixing and production areas;
Filling and packaging equipment;
Quality-control workstations;
Finished-product storage;
Production-line organization and cleanliness;
The factory’s ability to explain its manufacturing process.
The video walkthroughs gave the client a clearer understanding of what was behind each supplier’s quotation.
They also allowed the founder to participate in the assessment process despite being located in the UAE. Hinsourcing helped bridge the language gap by communicating with factory personnel in Chinese and explaining the relevant information to the client.
This created greater transparency and enabled the client to compare suppliers using visual production evidence rather than relying entirely on sales claims.
Comparing the Eight Manufacturers
After the initial search and factory reviews, Hinsourcing compared the eight manufacturers across several technical and commercial dimensions.
The comparison considered:
Relevance of the factory’s hair color manufacturing experience;
OEM/ODM and private-label development capabilities;
Suitability of the production environment and equipment;
Ability to support formulation and sample development;
Raw-material and batch-management practices;
Quality-control awareness;
Packaging customization capabilities;
Production capacity and order suitability;
Minimum order requirements;
Quotation structure;
Responsiveness and communication;
Willingness to provide factory access and production information.
A low quotation alone was not treated as proof that a manufacturer was suitable.
For a hair color product, an unusually low price could reflect differences in formulation, raw materials, packaging, order scope or quality-control expectations. Quotations therefore needed to be considered alongside the manufacturer’s actual capabilities and the assumptions behind the offer.
The factory environment and equipment were also evaluated as part of a broader assessment. The presence of production machinery did not automatically prove that every product requirement could be met. The selected manufacturer still needed to demonstrate that its experience, development process and commercial terms matched the client’s specific project.
Manufacturer Selection
Following the screening and comparison process, the client selected one manufacturer from the eight candidates.
The chosen factory offered the most suitable overall combination of product experience, OEM/ODM capabilities, manufacturing resources, communication and willingness to support the client’s private-label project.
Hinsourcing helped the client communicate with the selected manufacturer and convert the brand’s requirements into a clearer production plan.
The project then moved from supplier selection into product-development and manufacturing coordination.
OEM/ODM Product Development
The objective was to produce a hair color cream specifically for the client’s brand.
Hinsourcing supported communication between the UAE client and the Chinese manufacturer so that product and branding requirements could be understood by both sides.
The coordination process focused on the areas relevant to a private-label hair color project, including:
Confirming the intended product type and market positioning;
Coordinating available formulation and customization options;
Discussing the required hair color shades;
Managing sample feedback and product adjustments;
Confirming the final product presentation;
Coordinating brand information and packaging artwork;
Reviewing container, label and outer-packaging requirements;
Clarifying order quantities, production arrangements and lead times;
Following communication between the client and the factory during production.
For OEM/ODM projects, it is important to distinguish between the different levels of customization.
An OEM arrangement generally follows specifications or product requirements provided by the buyer, while an ODM project may use a manufacturer’s existing product platform as the starting point for modification and private labeling.
Hinsourcing helped the client communicate these expectations clearly so that the selected manufacturer could understand the required level of customization.
The brand’s name, packaging and product requirements also needed to be associated with an approved product version. This helped reduce the risk of misunderstandings between sample development and bulk production.
Results
Hinsourcing identified and screened eight hair color product manufacturers in Baiyun and Huadu, Guangzhou.
The client was able to examine factory environments and production equipment remotely through video walkthroughs, despite being unable to visit China in person.
Hinsourcing bridged the language gap by communicating with manufacturers in Chinese and presenting the relevant information to the UAE client.
The eight manufacturers were compared according to their hair color experience, OEM/ODM capabilities, factory conditions, production resources, quality awareness, commercial terms and responsiveness.
The client successfully selected one manufacturer whose overall capabilities matched the project requirements.
The selected factory produced a customized hair color cream under the client’s own brand.
Hinsourcing provided local support throughout the supplier-search, factory-assessment, manufacturer-selection and production-coordination process.
The Value of the Project
This case demonstrates why sourcing beauty products from China involves more than finding an online supplier with an attractive catalog.
When a buyer cannot speak Chinese or visit factories personally, several uncertainties can arise:
Is the supplier a genuine manufacturer?
Does the factory actually produce the required product category?
Can it provide the promised OEM/ODM services?
Does it have suitable production facilities and equipment?
Can it support samples, packaging and brand customization?
Are the quotation and minimum order requirements appropriate for the project?
Can the factory communicate consistently during development and production?
Hinsourcing reduced these uncertainties by acting as the client’s local representative in China.
By combining supplier screening, local factory assessment, video evidence, bilingual communication and production coordination, Hinsourcing helped the client move from an initial product concept to a selected manufacturer and a finished private-label hair color product.
The client did not need to navigate the Chinese supplier market alone. Instead, the brand gained a structured and more transparent route to OEM/ODM manufacturing.
Product Compliance Considerations
Hair color requirements can vary according to the formulation, product claims and country of sale.
Supplier selection and factory assessment do not replace product-specific regulatory review. The brand or importer should separately confirm the applicable UAE requirements for ingredients, product testing, safety documentation, labeling, registration and market access.
Manufacturers should provide accurate product and technical documentation, while any required laboratory testing or regulatory assessment should be carried out by appropriately qualified organizations.
