Background

In 2022, Macan, a large distributor from Nepal, approached Hinsourcing for assistance with purchasing small home appliances and consumer electronics from China.

Macan’s business supplied products to the Nepalese market, and he wanted to expand his product range with competitively priced appliances that could deliver reliable quality and attractive resale potential.

The initial product requirements included:

  • Coffee machines;

  • Electric fans;

  • Electric kettles;

  • Speakers.

The client was not looking for only one product or one quotation. He needed access to several product categories, multiple models and manufacturers whose prices would allow him to remain competitive in Nepal.

For a distributor, product selection must balance several commercial factors. A low factory price may appear attractive, but it does not automatically result in a profitable product. Product quality, model suitability, packaging, order quantity, defect risk and customer acceptance all affect the actual commercial result.

Macan therefore needed a local sourcing partner who could identify direct manufacturers, visit factories, compare products and prices, and help him select products with the right balance between cost, quality and market potential.

The Sourcing Challenge

Multi-category sourcing is more complex than purchasing a single product from one factory.

Coffee machines, fans, electric kettles and speakers use different components, production processes and quality-control methods. A factory that performs well in one category may not have the equipment or experience required for another.

The client also needed to compare multiple product models within each category. Differences in appearance, materials, functions, power specifications, accessories and packaging could significantly affect the factory price.

Without a structured comparison, quotations from different suppliers could be misleading. One factory might quote a basic model, while another might include better materials, additional accessories or more protective packaging.

The objective was therefore not simply to find the lowest number on a quotation. Hinsourcing needed to identify products that met the client’s commercial expectations while keeping the procurement cost below his anticipated budget.

Our Approach

Hinsourcing began by reviewing the client’s target categories and purchasing priorities.

The sourcing requirements were then organized so that potential manufacturers could be evaluated according to comparable product and commercial criteria.

Depending on the product category, the evaluation considered factors such as:

  • Product type and model;

  • Main materials and components;

  • Voltage, frequency, plug and power specifications;

  • Available functions and accessories;

  • Product appearance and color options;

  • Packaging configuration;

  • Minimum order requirements;

  • Factory quotation;

  • Production capacity;

  • Lead time;

  • Manufacturer experience;

  • Quality-control capabilities;

  • Willingness to accept factory visits and product inspections.

This created a more consistent basis for comparing manufacturers and helped prevent price differences caused by incomplete or inconsistent specifications.

Manufacturer Search in Foshan

Based on Macan’s requirements, Hinsourcing searched for direct manufacturers in Foshan.

Foshan has a broad manufacturing supply chain covering home appliances, electrical products and related components. However, the presence of many suppliers also makes careful screening important.

Some suppliers focus on manufacturing, while others primarily trade products produced by different factories. A trading company is not automatically unsuitable, but the client needed transparency about who was actually producing the goods and who would be responsible for product quality and order fulfillment.

Hinsourcing contacted and compared multiple potential factories for the required product categories.

The initial screening focused on:

  • Whether the supplier was an actual manufacturer;

  • Whether its main product category matched the client’s requirements;

  • Whether it had suitable production equipment and capacity;

  • Whether its product range was relevant to the Nepalese market;

  • Whether its pricing was competitive for the required quality level;

  • Whether it could provide stable product and commercial information;

  • Whether it was willing to cooperate with an on-site assessment.

Manufacturers that could not clearly explain their products, production arrangements or quotation assumptions were not treated as strong candidates.

Factory Visits and On-Site Assessment

After the initial supplier search, Hinsourcing visited potential manufacturers in Foshan to examine their actual production conditions.

The factory visits were used to verify information that could not be confirmed through product catalogues or online supplier profiles alone.

Depending on the product and factory, the on-site review focused on areas such as:

  • Factory identity and operating location;

  • Production lines and manufacturing equipment;

  • Current products under production;

  • Assembly processes;

  • Component and raw-material storage;

  • Quality-control stations;

  • Testing equipment;

  • Finished-product storage;

  • Packaging lines;

  • Production organization and capacity;

  • Willingness to provide access to manufacturing information.

The objective was to determine whether the factories had capabilities consistent with what they had presented during the quotation stage.

A factory visit also helped identify whether the supplier was manufacturing the products directly or sourcing important products from another company.

This was particularly important because Macan was purchasing several categories. Hinsourcing evaluated each supplier according to its actual area of specialization instead of assuming that one factory could manufacture every requested product equally well.

Product-Specific Evaluation

Each product category required a different evaluation focus.

Coffee Machines

For coffee machines, relevant comparison points included:

  • Machine type and intended use;

  • Voltage, frequency, plug and rated power;

  • Water-tank capacity;

  • Heating system;

  • Pump or brewing configuration;

  • Controls and user functions;

  • Included accessories;

  • Materials in contact with water or coffee;

  • Leakage and functional testing;

  • Replacement parts and packaging.

Electric Fans

For electric fans, the evaluation priorities included:

  • Fan size and design;

  • Motor type and power;

  • Available speed settings;

  • Oscillation and control functions;

  • Blade and guard construction;

  • Noise and vibration;

  • Stability during operation;

  • Power cord and plug configuration;

  • Packaging protection.

Electric Kettles

For electric kettles, relevant comparison points included:

  • Body and interior materials;

  • Capacity and rated power;

  • Heating speed;

  • Automatic shut-off;

  • Boil-dry protection;

  • Lid, handle and base construction;

  • Water leakage;

  • Power connection;

  • Packaging and accessories.

Speakers

For speakers, the product comparison considered areas such as:

  • Speaker type and intended use;

  • Power configuration;

  • Audio functions;

  • Connectivity options;

  • Control interface;

  • Battery or power-supply arrangement;

  • Accessories;

  • Exterior workmanship;

  • Packaging.

These product-specific criteria helped Hinsourcing compare value rather than price alone.

Product Catalogue and Price List

One of the key deliverables for the client was a structured product catalogue and price list.

Hinsourcing collected suitable models from the shortlisted manufacturers and organized them into a document that allowed Macan to review the available options more efficiently.

The catalogue and price comparison helped the client evaluate:

  • Available product models;

  • Main product specifications;

  • Design and appearance options;

  • Key functions;

  • Factory prices;

  • Order requirements;

  • Packaging information;

  • Differences between similar products;

  • Recommended options based on cost and quality.

Instead of receiving separate catalogues and quotations from multiple suppliers in different formats, the client received a more organized overview of the sourcing options.

This was especially valuable for a distributor purchasing several categories at the same time. The document allowed Macan to compare products across factories and build a product mix suitable for his local market and purchasing budget.

Cost and Product Selection

After comparing the factories, products and quotations, Hinsourcing carried out several rounds of screening.

The goal was not to reduce cost by accepting lower product standards. Instead, the sourcing process focused on identifying manufacturers whose product specialization, production scale and commercial terms matched the client’s order.

The comparison helped identify unnecessary price premiums, unsuitable models and quotations that did not offer sufficient value.

Hinsourcing then recommended products that provided a more appropriate balance between:

  • Procurement cost;

  • Product quality;

  • Functions;

  • Appearance;

  • Order quantity;

  • Manufacturing capability;

  • Resale potential in Nepal.

Through this process, Hinsourcing was able to source the selected products at a procurement cost below Macan’s original expectations.

Procurement Coordination

After the client confirmed the selected products, Hinsourcing coordinated communication with the chosen manufacturers.

The procurement process included aligning the confirmed models, specifications, prices, quantities and packaging requirements with the relevant suppliers.

For a multi-category order, accurate documentation is particularly important. Model numbers, colors, voltage, plug type, accessories, packaging and quantities must remain consistent across the quotation, purchase order and production communication.

Hinsourcing acted as the client’s local point of contact, helping reduce misunderstandings and keeping the purchasing information organized across the different product categories.

The final procurement included coffee machines, electric fans, electric kettles and speakers selected for the client’s distribution business in Nepal.

Results

Hinsourcing identified and compared multiple direct manufacturers in Foshan for the client’s required product categories.

Potential suppliers were assessed through quotation comparison and on-site factory visits rather than being selected solely from online profiles.

A structured product catalogue and price list was prepared, allowing the client to compare models, specifications and factory prices more efficiently.

Coffee machines, fans, electric kettles and speakers were sourced according to the client’s commercial requirements.

Through several rounds of factory and product screening, Hinsourcing secured quality products at a procurement cost below the client’s original expectations.

The selected products achieved strong sales performance after entering the Nepalese market.

The project helped Macan expand his product range while maintaining a competitive purchasing cost and suitable product quality.

The Value of the Project

This case demonstrates the value of structured sourcing for distributors purchasing several product categories from China.

The lowest quotation is not always the most profitable option. A distributor must consider whether the product is suitable for the local market, whether the factory can provide consistent quality and whether the complete procurement cost supports a sustainable resale margin.

Hinsourcing helped Macan by:

  • Locating relevant direct manufacturers in Foshan;

  • Comparing multiple factories and product models;

  • Conducting local factory visits;

  • Organizing products into a clear catalogue;

  • Preparing a structured price comparison;

  • Screening products according to cost and quality;

  • Coordinating purchasing information with the selected suppliers.

By combining local supplier access with a structured comparison process, Hinsourcing helped the client make more informed purchasing decisions and build a product range that performed well in Nepal.

Product Compliance Considerations

Electrical product requirements vary by product type and destination market.

Before importing small appliances or speakers, the buyer or importer should separately confirm the applicable Nepalese requirements for electrical safety, voltage, frequency, plugs, labeling, testing, documentation and market access.

Factory certificates or test reports should be checked against the actual manufacturer, production address, product model and applicable standard. Supplier screening and visual factory inspection do not replace product-specific safety testing or regulatory verification.
